Privacy Policy

This Privacy Policy explains how TaleemSe ("TaleemSe", "we", "us") handles personal information when you visit taleemse.com, use the TaleemSe web dashboard (dashboard.taleemse.com), or use the TaleemSe mobile app (together, the "Service"). TaleemSe is operated from the United Arab Emirates.

1. Our role: schools are in charge of their data

TaleemSe is school management software. Each school that subscribes (a "School") decides whose information is entered into the Service and why — for example, student records, attendance, fees and staff details. For that information, the School is the data controller and TaleemSe acts as a data processor (service provider) that handles it only on the School's instructions and to provide the Service.

If you are a parent, student or staff member and have questions about the information your School keeps about you, please contact your School first. We will help Schools respond to such requests.

TaleemSe is the controller for a smaller set of information that we collect for our own purposes, such as enquiries submitted through our website and the account details of School administrators who sign up with us.

2. Information we handle

Information Schools and their users enter into the Service

• Student information — name, class and section, admission details, date of birth, profile photo (if the School adds one), attendance, exam marks and grades, homework, library records, certificates and related documents.
• Parent and guardian information — name, relationship to the student, phone number, email address and address.
• Staff information — name, contact details, role, leave records, payroll and payslip details.
• Fee and payment records — fee schedules, invoices, payment status and receipts, including receipt images uploaded by parents or staff.
• Messages and notices — announcements, notice-board posts and notifications sent through the Service.

Account information

• Your name, email address, role and the School you belong to.
• Your password (stored only in hashed form by our authentication provider), or, if you choose "Continue with Google", the basic profile information Google shares with us: your name, email address and profile picture.

Google user data

If you sign in with Google, we receive only your name, email address and profile picture, and we use them solely to create and secure your TaleemSe account and show who you are inside your School. We do not request access to your Gmail, Drive, contacts, calendar or any other Google data, we do not sell or share Google user data, and we do not use it for advertising. TaleemSe's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information collected automatically

• Technical data needed to run and secure the Service, such as IP address, device and browser type, and server logs.
• If you allow notifications in the mobile app, a push notification token for your device.
• The mobile app stores some data on your device so that teachers can keep working offline; it is synced to the Service when a connection is available.

We do not use advertising trackers, and we do not use third-party analytics on the Service.

Information you send us directly

• When you contact us or use the "Get in touch" form on our website, we keep the details you provide (such as your name, role, school name, city, approximate number of students, phone number, email address and message) so we can respond.

3. How we use information

• To provide the Service to Schools and their users — for example, recording attendance, generating fee invoices and report cards, running payroll and sending notices.
• To sign you in and keep your account secure.
• To send service notifications, such as attendance alerts, fee reminders and announcements, when your School uses those features.
• To process fee payments through the payment providers your School enables.
• To provide support, respond to enquiries and communicate with School administrators about their subscription.
• To maintain, secure, troubleshoot and improve the Service, and to prevent fraud and abuse.
• To comply with legal obligations.

We do not sell personal information, and we do not use student information for advertising or to build profiles unrelated to the School's use of the Service.

4. Students and children

Most students whose information is held in the Service are children. Their information is entered and managed by their School, which is responsible for obtaining any consent required from parents or guardians under the laws that apply to it. Where a student portal account is provided, it is created by the School. We process student information only to provide the Service to the School and protect it with the safeguards described in this policy.

5. Who we share information with

We share personal information only in these situations:

• Within your School — information is visible to users of the same School according to their role. For example, parents see their own children's records, and teachers see the classes they teach. Each School's data is kept separate from every other School's. Student profile photos are visible only to the School's administrators and the child's linked parents.
• Service providers who host or operate parts of the Service for us, under contracts that require them to protect the data and use it only to provide their services:
  • Supabase — database and authentication infrastructure;
  • Cloudflare — storage of uploaded files and documents;
  • Google — "Continue with Google" sign-in and Firebase Cloud Messaging for push notifications;
  • Expo — delivery of mobile push notifications;
  • JazzCash and Easypaisa — processing of fee payments, when enabled by your School;
  • our cloud hosting provider, which runs our web servers.
• Legal reasons — when required by law or a valid legal request, or to protect the rights, safety and security of our users, Schools or TaleemSe.
• Business transfers — if TaleemSe is involved in a merger, acquisition or sale of assets, subject to this policy continuing to protect the information.

Payment card or wallet credentials are entered with the payment provider, not stored by TaleemSe.

6. International transfers

TaleemSe is operated from the United Arab Emirates, and our service providers may store and process data on servers located outside your country, including outside Pakistan and the UAE. When information is transferred internationally, we rely on providers that apply appropriate safeguards to protect it.

7. How long we keep information

We keep School data for as long as the School has an active subscription, or as the School instructs. When a School ends its subscription, we delete or return its data within a reasonable period, except where we must keep certain records to meet legal, accounting or security obligations. Website enquiries are kept for as long as needed to respond and follow up, and then deleted.

8. Security

We use industry-standard measures to protect personal information, including encryption in transit (HTTPS), role-based access controls, strict separation of each School's data at the database level, encrypted storage of sensitive credentials, and rate limiting. No system is completely secure, but we work to protect your information and will notify affected Schools of a data breach as required by law.

9. Your rights

Depending on the law that applies to you — including the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and the laws of the country where your School operates — you may have the right to access, correct, delete or restrict the use of your personal information, to object to certain uses, and to withdraw consent.

For information held by your School, please send your request to your School, and we will support them in responding. For information TaleemSe controls, such as website enquiries, email us at [email protected]. We may need to verify your identity before acting on a request.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make significant changes, we will update the "Last updated" date above and, where appropriate, notify School administrators.
